Full Privacy Policy
At Pilattès Studio, protecting your personal information is our priority. We are committed to handling your data responsibly and in full compliance with UK GDPR. This policy explains in detail how we collect, use, and safeguard your information, as well as your rights and choices as a client.
1. How We Collect Data
We collect personal information from you when you interact with our studio, whether online, via the MINDBODY app, or in person. This includes when you book classes, purchase memberships, sign up for newsletters or promotions, complete health and safety questionnaires, or fill out waivers. The information we collect may include your name, email address, phone number, date of birth, payment information, health and medical details relevant to participating safely in classes, and your preferences for communications. We may also collect information automatically through our website, including non-identifiable data via cookies, analytics, and usage patterns.
2. How We Use Your Data
Your personal information is used primarily to ensure you have a safe and enjoyable experience at our studio. This includes managing your bookings, processing payments, tracking attendance, and monitoring participation in classes to ensure health and safety requirements are met. We also use your data to communicate with you regarding class updates, studio news, and promotions, but you can opt-out of our promotional communications at any time. Additionally, we analyse aggregated data to help improve our services, refine scheduling, and enhance the overall client experience. At no point do we sell your personal data to third parties for marketing purposes.
3. How We Protect Your Data
We take the security of your personal information seriously and implement appropriate administrative, technical, and physical safeguards to protect your data from unauthorized access, loss, or misuse. Data collected is stored securely within our booking system and studio records, accessible only to authorised staff and our service providers for operational purposes. Payment information is processed securely through trusted payment gateways, and we regularly review our security protocols to ensure they meet current standards.
4. Cookies
Our website uses cookies to enhance your browsing experience, remember your preferences, and collect anonymous usage data. Cookies allow the website to function properly and provide useful insights into how clients interact with the site. These cookies do not personally identify you. You can disable cookies in your browser settings, but please note that some features of the site may not work as intended if cookies are blocked.
5. Marketing and Communications Preferences
You have full control over the marketing communications you receive from us. You may opt in to receive newsletters, promotions, and class updates, and you may change your preferences or unsubscribe at any time by following the links in emails or contacting us directly. Even if you opt out of marketing, we will still send essential communications regarding bookings, class cancellations, health and safety updates, or operational matters to ensure your experience at the studio remains smooth and safe.
6. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, services, or legal requirements. When we do, we will post the revised version on our website with an updated date. We encourage clients to review the Privacy Policy periodically so you remain informed about how we collect, use, and protect your personal information.
7. MINDBODY Data Use and Protection
We use MINDBODY as our booking and payment platform. Personal information collected through MINDBODY, including bookings, payments, and communication preferences, is stored and processed according to their privacy practices. MINDBODY uses this information solely to provide booking and payment services for our studio and does not sell your personal data. Their systems have robust security measures in place to protect your information, and you can review their full privacy practices directly on the MINDBODY website.

Bookings can be made via our website, the MINDBODY app, or in-studio. Payments must be made in full at the time of booking or according to your membership agreement. Prices are as displayed on our website or in-studio and may be updated from time to time.
If a class is fully booked, you may join the waiting list. If a space becomes available, you will automatically be added to the class up to three hours before it starts.

We kindly ask that any class cancellations are made at least 12 hours in advance.
Cancellations made with less than 12 hours’ notice are non-refundable and will not be credited back to your account. To ensure fair access for all clients, unlimited members will incur a £5 fee for any late cancellations.
Missed classes without notice will also incur a £5 no-show fee.
To maintain a calm and uninterrupted experience for everyone, late arrivals cannot be admitted once a class has started.
We recommend arriving at least 5 minutes before your session to get settled and ready to begin on time.
Thank you for respecting our instructors’ time and helping us maintain a smooth and enjoyable experience for all clients.
Refunds and Packages
All class packages are non-refundable and non-transferable. This policy helps us preserve the quality and consistency of our studio experience for every client. Packages must be used within six months of purchase.
Membership Cancellation
Memberships can be cancelled with one month’s notice. This ensures smooth operations for the studio and fairness for all clients and instructors.
Health & Safety / Participation
Participation in all classes is at your own risk. Clients must ensure they are fit to take part in physical activity and must inform instructors of any injuries, medical conditions, or pregnancy before each session. All clients are required to complete a Health & Safety Questionnaire and Waiver prior to attending their first class. Instructors provide guidance and modifications, but clients should listen to their bodies and work within their own limits. The studio reserves the right to restrict participation if we believe it may compromise your health or safety.
Code of Conduct
We aim to provide a calm, safe, and welcoming environment. Clients are expected to arrive at least five minutes before class, wear grip socks (available for purchase in-studio), avoid jewellery, keep mobile phones silent and stored away, treat instructors, fellow clients, and studio equipment with respect, wipe down equipment after use, and refrain from wearing strong fragrances. Repeated misconduct may result in restricted bookings or removal from the studio.
Privacy and Data Protection
We respect your privacy and handle your personal information with care, in line with UK GDPR. Personal data is collected to manage bookings, process payments, communicate updates, and ensure client safety. Data is stored securely and only shared with authorised service providers, including MINDBODY, which uses your information solely to provide booking and payment services for our studio.
You have the right to access, correct, or request deletion of your personal data and to manage your marketing preferences at any time. Full details on data collection, use, and protection can be found in our comprehensive Privacy Policy.
